Every year – especially around summer fair season and the run-up to Christmas – Yellow Blossom Photography receives a large number of requests from schools, PTAs, nurseries, community groups and charities across Haverhill, Cambridge, Saffron Walden, Bury St Edmunds, Newmarket and the wider Suffolk/Cambridgeshire area.

And genuinely, it means a lot when people think of my little studio for their raffles, auctions and fundraising events. But as a small independent business, I simply can’t say yes to everyone.

This Charity & Fundraising Request Policy helps me support our community fairly, sustainably and intentionally, while still protecting the time and resources needed to serve the families who book with me throughout the year.

🌼 Why a Policy Is Needed

Schools and charities often contact every local business they can find, hoping for raffle prizes or session donations. There’s nothing wrong with that – fundraising is hard work! But for a photography studio like mine, a “free” prize isn’t just a product on a shelf. It represents:

  • studio time
  • planning
  • lighting & equipment
  • editing
  • gallery preparation
  • and several hours of skilled work

When multiple requests arrive weekly – particularly during peak seasons – it becomes impossible to accommodate them all without affecting my paying clients and my own family life. So this policy ensures everything stays fair, manageable and consistent.

🌼 Who I Prioritise Supporting

I’m always happy to consider requests from causes that align with the heart of what I do – capturing families and supporting those who care for them.

That includes:

  • Local family-focused charities
  • Schools & PTAs in Haverhill, Cambridge, Saffron Walden, Bury St Edmunds & Newmarket
  • Organisations supporting babies, children, maternity, SEN or bereavement
  • Community groups who genuinely engage with my business

Thoughtful, personalised requests always stand out.

🌼 What I’m Able to Donate

To keep donations sustainable, I offer low-impact, flexible contribution options, such as:

  • A studio credit voucher (e.g. £25–£50 credit)
  • A pop in session prize, but only during scheduled dates

These give winners a lovely experience without placing unrealistic pressure on my time or studio schedule.

🌼 What I’m Not Able to Donate

Due to the time and cost involved, I cannot offer:

  • Full sessions for free
  • Full galleries of digital images
  • High-value packages
  • Moments in Bloom or multi-session programmes
  • Private or bespoke sessions as free prizes

These sessions involve several hours of shooting, editing and preparation – they simply aren’t feasible as giveaways.

🌼 What I Need in Your Request

To consider your fundraising request, please include:

  • How you found Yellow Blossom Photography
  • Why you chose my studio specifically
  • Details of the event (summer fair, Christmas fair, PTA raffle, charity auction, etc.)
  • What prize or voucher you’re hoping for
  • How prizes will be promoted or displayed
  • Whether my business will be named, credited or advertised at the event – and what evidence or examples I can view to confirm this
  • The location (Haverhill, Cambridge, Saffron Walden, Bury St Edmunds, Newmarket, etc.)
  • Approximate audience size

Thoughtful, personalised requests always receive greater priority.

🌼 Annual Donation Limit

I set aside a small number of charity commitments each year. Once these are allocated, I’m unable to accept further requests – even if the cause is wonderful. This ensures the support I do give is meaningful and sustainable.

🌼 Why This Policy Benefits Everyone

A clear, transparent policy helps:

✔ Direct donations where they’ll have the most impact

✔ Keep my studio sustainable and available to local families

✔ Prevent burnout during peak seasons

✔ Ensure fairness across all enquiries

✔ Maintain high-quality service for my booked clients

The goal isn’t to say “no” – it’s to say yes where it truly counts.

🌼 If You’re Organising a Fundraising Event…

I’d love to hear from you! Just pop me an email with the details outlined above, and if the event is a good fit and I still have availability within my yearly allocation, I’ll always do my best to help 💛

Thank you for thinking of Yellow Blossom Photography and for all the incredible work you do for our local communities in and around Haverhill, Cambridge, Saffron Walden, Bury St Edmunds and Newmarket.
